Startup Boston Week 2025 ran five days, 7,000 registered attendees, 250 speakers, 300 volunteers, across 100 sessions. Three Circles Studio provided a team of 4 headshot photographers and 8 event photographers, twelve people, organized entirely by founder Kevin Thai, covering both the headshot booth and general event coverage. That included 302 people and 3,449 headshots at the booth alone.
For a full week, sponsor logos were lighting up LinkedIn and Instagram, carried by attendees sharing their own photos, not a paid post. According to the organization, more registrations were pulled in as the week went on, as people saw their network already there, having a good time, and decided to show up too. By the time the Ace Next Gen Unity Conference wrapped, over a hundred speakers and honorees shared their photos with the people who mattered to them before the conference even ended. Guests register once, by scanning a QR code, texting a number, or giving a photographer their phone or email on the spot. That single registration links to every photo taken of them for the rest of the event, whether that's a few hours or the full run of a multi-day conference. Yes, matching involves facial recognition, and it's consent-based. Nobody's face gets matched or stored until they've actively registered to receive their own photos, and only that person sees their gallery. Photos aren't scraped, sold, or used to train anything.
Registration is what makes the private delivery possible, but nothing about the event changes for them otherwise. Anyone who skips it can still be included in a shared highlight gallery if the organizer wants one.
Strong, consistent Wi-Fi at the venue is what makes real-time delivery possible. If a venue's connection isn't reliable, guests can still register by scanning the QR code, and their photos get uploaded and sent out manually after the event instead of in real time.
No. Registration information is used only to deliver that person's own photos. Three Circles Studio sends reminder messages during and after the event so guests don't miss viewing or downloading their gallery, but data isn't sold and isn't used to market anything beyond your own event.
Attendee galleries stay private and accessible to that attendee, and the organization retains the coverage and any attendee records collected. Nothing gets made public or shared beyond the event unless you choose to build a curated public highlight gallery separately.
Yes. Logos and sponsor branding can be added to the photo overlays and to the gallery guests see, so every photo shared on social media carries your event's branding along with it. Three Circles Studio can build and apply the overlay for you, or provide the templates so your own team can handle it in-house if you'd rather keep design control internally.
Yes, for family-oriented events, multiple people can be registered under a single phone number so a parent gets their whole family's photos delivered together instead of everyone registering separately. This is especially useful for community events, where families often move through together rather than one at a time.
As an MBE, this isn't an abstract concern to me. It's something I take seriously and watch for at every event I photograph, across Boston's diverse communities, immigrant groups, nonprofits, and Startup Boston Week's own diverse roster.
